10.8 INK-AO & INK-NL Rejection Master's and pre-Masters

INK-NL

Students with Dutch previous education applying to premasters programme are processed by SA, if the students are rejected they will receive a rejection email sent by SA.

Students with Dutch previous education applying to a Master's programme for which they are not directly admissible are processed by SA, if the students are rejected they will receive a rejection email sent by SA.

INK-NL pre-Master's rejection

Students with Dutch previous education can apply directly to a PM. INK-NL applicants have a hbo Bachelor or a WO-Bachelor on a differently field than the field of the pre-Master's they are applying to.

Checking rejection reasons

1. Run the rejection filter for INK-NL processes: AO informeren student toelatingsbesluit  afwijzingen NL

2. Open excel rejection template https://trello.com/c/kIBig3wk/445-instructions-rejections

3. You can further filter by process INK-NL-PREMASTER

4. After you have selected a student, go to OSIRIS application > Application OSIRIS aanmelding > Aanmelding

5. First check Checklist: Besluit toelating door Toelatingscommissie the Status should be “Niet toegelaten” or “rejected”

6. The check Checklist Informeren student door Student Admissions says “To inform” or “Informeren”

7. Then check Reden afwijzing, Andere reden afwijzing and the internal notes.

Note we check internal notes in case the faculty mentions any other particular reason of rejection or has a further explanation.

8. Please annotate these reasons in the excel file

Then check the standard sentences in Trello and add the corresponding standard sentences with the reason of rejection. You can find the standard sentences here: https://trello.com/c/kIBig3wk/445-instructions-rejections

Sending the rejection email
Preparations before sending the email

1. Study the dossier: Double check the rejection reasons and internal notes.

2. Checklists: there should be a decision Niet toegelaten and the status should be Informeren/To inform

Ready to email

To email the student, click on the top right envelope icon.

Now, select the AO-MA-PM-NL-REJ-REJECTION template from the list of templates.

Once you have selected the correct template, click on Volgende/Next, which will open the email so that you can edit the template according to the instructions in the next section.

Editing the email template

1. Add the date as: day-month-year

25 December 2021

Please write the full month.

2. Add the premaster name that the student applied to by the exam board and remove the word master

3. Add the premaster again and remove the word master

4. Add the reason of rejection

5. Remove the premaster information part, this is only applicable to Master's applicants who are invited to apply to the pre-Master's.

After sending the email and adding the rejection decision

1. After you have checked the email, all the data and spelling/syntax, you can send the email by clicking on Versturen/Send.

2. Copy the Opleiding code of the programme you just sent an email for. You can find the Opleiding code in the application line next to the start and end date. 

3. On the left-hand side menu go to Degree programme > Admission decision or Opleiding > Toelatingsbeschikkingen

4. Click on the top green button with a + symbol (see photo below). A line for the admission decision will appear 

5. Paste the Opeliding code. Please note that Osiris is spaces sensitive, so there should not be any spaces before or after the code. Press the Tab on your keyboard. 

6. Click ‘OK’ 

7. In the drop down menu Approved? or Akkoord? select: 

Nee/No

8. Fill in the box below as follows/copy paste the following information:

  1. Verstrekt door faculteit: the first letters form the Degree programme or Opleiding, for example: NWI (press Tab on your keyboard)
  2. Verstrekt door onderdeel: RU (press Tab on your keyboard)
  3. Afgiftedatum: write t and press the Tab button of your keyboard or write the date of the email you sent in European format, for 1 March 2022 you write: 01-03-2022 (day-month-year)
  4. Herkomst student: please select either hbo-ba or wo or the previous education of the student.

9. Click on Save. 

Please note by saving this step you are cancelling the application in studielink

10. Go to OSIRIS Application > Application or OSIRIS Aanmelding > Aanmelding 

11. Go to the application line and under “Decision” or “Besluit” and select:

Afgewezen/Rejected

Please note adding the decision is a crucial step.

12. Scroll down to Checklist: Informeren student door Admission Office and in “Status” select “Email sent” or “Email verstuurd” 

13. Save the changes 

INK-NL Master's rejections

SA processes applications of students applying to MA with Dutch previous education that does not grant direct access to the Master.

Checking rejection reasons

1. Run the rejection filter for INK-NL processes: AO informeren student toelatingsbesluit  afwijzingen NL

2. Open excel rejection template https://trello.com/c/kIBig3wk/445-instructions-rejections

3. You can further filter by process INK-NL-MASTER

4. After you have selected a student, go to OSIRIS application > Application OSIRIS aanmelding > Aanmelding

8. Check Student wijzen op mogelijkheid premaster? If the answer is JA please make a note of this in your excel

Sending the rejection email

Ready to email

INK-AO

Students with an international previous education apply for a Master's programme. The exam board evaluates the application and if rejected they will mention in the application if the student gets a pre-Master's offer or not.  Please note applicant with international previous education cannot directly apply to a pre-master's programme.

Master's rejection with pre-Master's offer
Before emailing

1. Run the rejection filter : AO informeren student toelatingsbesluit  afwijzing, PM aanbod AO

2. Open excel rejection template https://trello.com/c/kIBig3wk/445-instructions-rejections

This filter will show you the Master rejections with PM offer. Please note you will be processing a Master rejection and not a premaster's admission.

3. Things to check in the application:

  1. Checklist: Besluit toelating door Toelatingscommissie the Status should be “Niet toegelaten, (voorw) toegelaten PM” or “Not Admitted (Conditionally) admitted PM”
  2. Check Checklist Informeren door Admission Office says “To inform” or “Informeren”
  3. Check Reden afwijzing & Andere reden afwijzing. *Check the internal notes, in case the faculty mentioned any other particular reason of rejection or further explanation.
  4. Chek that the faculty has added the information needed for the admission to the pre-master's (Diploma toelating, Taaleis Engels, Taaleis Nederlands (if the premaster is Dutch-taught but this is rarely the case), Aanvullenden certificate and Overige voorwaarden)
  5. Check that the faculty has added the information over the pre-master's programme the applicant is admitted to (Toegelaten tot premaster, Aantal ECTS-credits premaster & Pre-master programma)

Please note before processing further the application you need to make sure that all the information of points 3, 4 & 5 is there If any information is missing please send the application back to the faculty.

4. Write point 3 in your excel and check in the Trello document the corresponding sentences https://trello.com/c/kIBig3wk/445-instructions-rejections

5. Scroll down, then check if the student has applied to a scholarships (only non-EU can apply for the scholarships). If the student has apply for a scholarship make a note in your excel of the name of the scholarship they student applied to (ex: RSP, OTS, HS). (see example in options 2 section)

7. Call the student to inform them they are rejected for the Master but they have an offer for the PM. For more information about calling please see https://trello.com/c/yW2w4wlH/439-calling-instructions and see the section below

Calling
  1. Go to Student Information> Additional Information OR Studentgegevens> Vrije Velden
  2. Check the time difference and use the phone in this field to call the student.
  3. If the phone is not in this field you can find the phone here: Student Information> Additional Information OR Studentgegevens> Addresses
  4. Open the calling instructions and call the student https://trello.com/c/yW2w4wlH/439-calling-instructions
  5. Go to OSIRIS application > Application OSIRIS OR aanmelding > Aanmelding and scroll down to Checklist: Informeren student door Student Admissions and register the call here.

If the call was successful please do the following:

  1. in Eerste belpoging write the date and time of the call
  2. In Eerste belpoging, geslaagd select “Yes/Ja”
  3. If there are any comments from the student as request to call on a later time or that they can be call on specific times/months for the calling campaign, write these comments on Opmerkingen bellen student. Please write the comments in English because the students who will do the calling campaign are international students at RU.
  4. During the call, do not forget to ask about the calling campaign, in Deelname belcampagne gewenst? select the preference of the student
  5. Save the changes on the top right side with the save button

If the call was unsuccessful:

  1. in Eerste belpoging write the date and time of the call
  2. In Eerste belpoging, geslaagd select No/Nee”
  3. In Deelname belcampagne gewenst? select “Unknown/Onbekend”
  4. Save the changes on the top right side Save button

***Due to the COVID regulations and working from home, we are not currently calling unless a student assistant voluntarily works from the office.

Emailing

To email the student, click on the top right envelope icon.

Now, select the AO-MA-REJECTION - REJECTION  template from the list of templates.

Once you have selected the correct template, click on Volgende/Next, which will open the email so that you can edit the template according to the instructions in the next section.

Editing the email template

1. Add the date as: day-month-year

2. Add the master name the student applied to and the specialisation

3. Keep the blue text because the student was admitted to a premaster's

4. Add the reason(s) of rejection

5. Remove or keep the text depending if the student had applied for a scholarship or not. Make sure to also remove the scholarships that the student did not apply for.

In OSIRIS, you will see the abbreviations for scholarships instead of the full names. These are:

  • Radboud Scholarship Programme (RSP)
  • Radboud Encouragement Scholarship (RES)
  • Holland Scholarship (HS)
  • Orange Tulip Scholarship (OTS)
  • UMC Studyfund

6. Keep the blue text

7. Add the premaster programme name 3 times

8. Select the application deadline based on nationality (1 May non-EU OR 1 August EU/EEA)

9. Delete the text in yellow (this is only for students without pm offer)

10. Keep the blue text

After sending email and adding the rejection decision

4. After you have selected a student, go to OSIRIS application > Application OSIRIS aanmelding > Aanmelding

  • First check Checklist: Besluit toelating door Toelatingscommissie the Status should be “Niet toegelaten” or “rejected”
  • The check Checklist Informeren door Student Admissions says “To inform” or “Informeren”
  • Then check Reden afwijzing, Andere reden afwijzing and the internal notes.
