How do I record an admission decision for not immediately admissible students?

As a member of a faculty's admissions commission, you may be asked to assess whether a student with a foreign prior education or not directly admissible prior education may be admitted to a programme. This decision must be recorded in Osiris Docent: https://osiris.ru.nl/docent https://osiris.ru.nl/docent

View dossiers

After logging on to https://osiris.ru.nl/docent, the following overview page is displayed:

  1. Click anywhere in the 'Application'/'Aanmelding' bar to go to students' files. The next page with the overview of dossiers will then be displayed:

2. The number in the green oval on the right indicates the number of days within which a decision must be made. A number in a purple oval indicates that the maximum number of days has passed (as in this example), but a decision can still be made.

Click on a dossier here (somewhere in the 'Application for a master's programme' or 'Application for a bachelor's programme' bar) to go to that dossier.

The next page with the overview of the questionnaire in the dossier will then be displayed:

On this page you can:

  • scroll down to view all student questions and answers relevant to admission
  • open all documents individually by clicking on the file link, or all at once in one PDF via 'Show all attachments file'
  • click on 'Colleague reviews' in the left menu to see what colleagues think of this file, if the admission decision is to be taken by more than one person
  • click on 'My assessment' in the menu on the left to enter the admission decision.

The following pages explain how to submit a decision.


Submit a decision

When 'My review' is clicked in the menu on the left, the following page is displayed:

 

After clicking on 'Change', the decision menu can be modified. In addition, the 'save', 'submit' and 'cancel' options appear, as below. 

Click on 'Make a choice'. The options below will then appear:

Attention! Only select 'Not admitted to Master, (conditionally) admitted to premaster' if the programme actually offers a premaster programme!

Click on the relevant option:

‘(conditionally) admitted’

 

On this page:

  • 'Because many students admit more than one diploma, please name the diploma on which you based your decision' field must be filled in compulsorily with the diploma on the basis of which the student is/will be admitted and must submit for enrolment
  • Should the fields 'Language requirement English' and 'Language requirement Dutch' be filled in mandatory
  • Can the field 'Additional certificates' be filled
  • Can the field 'Grade requirements and additional requirements' be filled
  • Should be clicked on 'submit' to finalise the decision and send it back to the faculty admission officer/administrative processor. This file disappears from the overview of step 2.
  • Can be clicked on 'save' to save the decision and record an admission decision later on. The admissions officer/administrative processor is then not yet informed! Only files where 'submit' has been clicked will be processed further.

Click 'save' and continue later, or:

Click 'submit'.

 

‘Not admitted to Master, (conditionally) admitted to premaster’

On this page:

  • 'Because many students admit more than one diploma, please name the diploma on which you based your decision' field must be filled in mandatory with the diploma on the basis of which the student is/will be admitted to the premaster and must submit for registration
  • Should the fields 'Language requirement English' and 'Language requirement Dutch' be filled in mandatory for admission to the premaster programme
  • Can the field 'Additional certificates' be filled in for admission to the premaster programme
  • Can the field 'Grade requirements and additional requirements' be filled for admission to the premaster programme
  • A reason for rejection for the master's programme must be chosen
    • If one of the standard reasons does not apply, 'Other reason for rejection' can be chosen, after which an extra field appears in which a specific reason must be given. Do so in English, addressed to the student.
  • Note! The reason given here will be mentioned in the university's email to the student and this should be carefully worded. The student can appeal the rejection; the reason given here is important in this regard.
  • Must field 'Admitted to premaster' be filled with the name of the premaster programme to which the student has been admitted, any exemptions for subjects can be added in this field ("exempt from: ...")
  • Field 'Number of ECTS credits premaster' has to be filled with the total number of ECTS credits the student has to obtain (excluding the credits for courses to which an exemption applies)
  • Must be clicked on 'submit' to finalise the decision and send it back to the administrative processor. This file disappears from the overview of step 2.
  • Can be clicked on 'save' to save the decision and record an admission decision later on. The administrative processor is then not yet informed! Only files where 'submit' has been clicked are processed further.

Click 'save' and continue later, or:

Click 'submit'.

‘Not admitted’

On this page:

  • Need to choose a reason for rejection
    • If one of the standard reasons does not apply, 'Other reason for rejection' can be selected, after which an additional field appears in which a specific reason must be given. Do so in English, addressed to the student.
  • Note! The reason given here will be mentioned in the university's email to the student and this should be carefully worded. The student can appeal the rejection; the reason given here is important in this regard.

 

  • Must be clicked on 'submit' to finalise the decision and send it back to the administrative processor. This file disappears from the overview of step 2.
  • Can be clicked on 'save' to save the decision and record an admission decision later on. The administrative processor is then not yet informed! Only files where 'submit' has been clicked are processed further.

Click 'save' and continue later, or:

Click 'submit'.
